It can be frustrating to constantly have to check your webmail online. Wouldn’t it be so much easier to just have the emails come right to your personal Gmail?
Well, luckily there’s a way!
With this quick tutorial, you’ll be able to send and receive mail from any webmail service, right from your personal Gmail inbox.
There are a couple of things you’ll need to have in order to get started.
- Username (usually your email address)
- Password (this may have been set up by you, or your web developer)
- Incoming Server (usually your domain name)
- IMAP Port (if you’re a Rycob Media client it is 993)
- POP3 Port (995 if you’re a Rycob Media client)
- Outgoing Server (usually your domain name)
- SMTP (465 as a Rycob Media client)
Once you have all of those you can get started with the process of receiving your webmail to your Gmail inbox.
Step 1: Recieve Email
To begin you first need to log in to the email you plan on receiving your new email in.
Once you have logged in you’ll want to click on the gear icon in the upper right, and then click settings
This will open the settings menu on Gmail, from there you will want to click the “Accounts and Import” section on the top bar.
After opening a new window you’ll see a screen that looks like the one below. Simply type in the email address you want to import mail from and click “Next>>”
Note: If you click “Next>>” and it simply relaunches your inbox this is because you are logged into multiple Gmail accounts. There are a couple of ways to get around this.
- Sign out of all of your Gmail accounts and sign in as only the Gmail account you want to recieve mail to and then continue with these steps
- Open an incognito window and log in to only the Gmail account you want to recieve mail to and continue with these steps in the incognito window
After clicking “Next>>” you should be brought to this screen.
Ensure that you have selected the button that says “Import emails from my other account (POP3)” and then click “Next>>”
Next, you will be brought to a screen that asks you to enter your username, password, POP server (Incoming Server) and port.
Ensure all of the information entered is correct, including the port, and both checkboxes of “Always use a secure connection (SSL) when retrieving mail” and “Label incoming messages: [email protected]” are checked.
Once your information looks similar to picture below, but with your information click “Add Account>>”
Next, ensure the box that says “Yes, I want to be able to send mail as…” is clicked, and then click “Next>>”
Step 2: Send Email
After this, all of the next steps will be to send mail from your Gmail.
After clicking “Next>>” on the previous screen you’ll be brought to the following screen:
Simply enter the name you want to appear as the sender for any email you send from this address. It could be your Company name, it could be your personal name, it could be the Sales department. Whatever you would like.
Ensure “Treat as an alias” is checked and then click “Next Step>>”
On the next screen, as seen below, you will enter the same username and password as you entered to receive your email, however instead of port 995, ensure that the port selected is the correct SMTP port (465 for Rycob Media clients)
Step 3: Confirmation Code
Finally, you will see a screen that asks for a confirmation code.
There are two ways you can go about getting this code.
- You can wait for it to come in to your Gmail inbox (may take a couple of minutes)
- You can go to yourwebsite.com/webmail, log in using your login info and click the link in there. This may be faster.
After you have received the code, simply click the link in the email or copy and paste the code into the screen shown below.
And that’s it!
Finally, click “Verify” and you’re done!
You can now both send and receive an email to your personal Gmail as whatever email address you would like from your domain.
